Job Overview

We are seeking an enthusiastic and self-driven individual for the position of Executive Assistant (EA) in our organisation. The Executive Assistant will provide high-level assistance and coordination to our CEO to ensure the smooth and effective administration of the executive office.

In addition to providing high-level administration and executive support, you will coordinate various projects and act as a liaison between the executive and internal and external stakeholders.

Job Responsibilities

  • Provide secretarial and administrative support.
  • Manage and maintain executives’ schedules, appointments and meetings.
  • Manage travel arrangements.
  • Coordinates requests for information from internal and external stakeholders.
  • Provide a professional first point of contact for all enquiries.
  • Arrange and co-ordinate effective meetings and events by organising and collating agendas and coordinating follow-up actions.
  • Making room bookings and equipment set up such as teleconferencing, data projector and refreshments.
  • Record, transcribe and distribute minutes of meetings.
  • Answers and routes phone calls, mail and e-mail messages and may handle wide-range information dissemination.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • File and retrieve documents.
  • Liaise with internal staff at all levels and interact with external clients.

 

Job Requirements

  • At least 3-4 years of prior experience in office administration and customer service.
  • Excellent computer skills and strong working knowledge of MS Office Suite.
  • Excellent organisational and planning skills.
  • High degree of professionalism and judgment.
  • Ability to maintain a high level of confidentiality.
  • Ability to multi-task and work within strict deadlines.
  • Great verbal and written communication skills.
  • Demonstrated ability to work as part of a team and independently and with people at all levels.
  • Possess flexibility and adaptability depending on circumstances.
  • Poise and calm demeanour.
